How Scenegraph Studios LTD handles information for Pxl-Persona conversational practice, live sessions, uploads, support, billing, and product safety.

This policy is written for the current UK-focused launch of Pxl-Persona. We will update it before broader international expansion or material changes to processing.

Pxl-Persona is a brand and product of Scenegraph Studios LTD, company number 10903302.

Scenegraph Studios LTD is the data controller for Pxl-Persona. Our registered office is 108 Church St, Birkenhead CH41 5JA, United Kingdom.

What Pxl-Persona is for

Pxl-Persona is designed for conversational practice. Users can practise interviews, role-play, training scenarios, visitor conversations, and other guided conversations with AI-powered avatars.

Pxl-Persona is not intended to make hiring, education, healthcare, legal, financial, or other significant decisions about users. Any feedback is for practice and review, not a guaranteed assessment or outcome.

Age limits

For our UK launch, Pxl-Persona is intended for users aged 14 and over.

If you are in the European Union, you must be at least 16 to create your own account unless a parent, guardian, school, college, employer, or other authorised organisation has arranged appropriate permission.

If you are under 18, paid purchases should be made by an adult or by an authorised organisation such as a school, college, employer, or training provider.

Information we collect

The information we collect depends on how you use Pxl-Persona.

You should only upload or enter information that you are allowed to use in Pxl-Persona and that is relevant to your conversational practice.

  • Account details, such as name, username, email address, login records, and authentication/session data.
  • Profile details, such as organisation, role, goals, communication preferences, accessibility needs, and other optional profile fields.
  • Uploaded documents and files, such as CVs, job descriptions, training material, scenario notes, policies, or briefing documents.
  • Persona, scenario, and workspace content that you create or edit in the app.
  • Session records, transcripts, generated feedback, audio clips, session metadata, timing, and linked review information.
  • Voice and microphone audio processed during live sessions.
  • IP addresses, device/browser information, connection information, technical logs, and custom telemetry used to operate and secure the service.
  • Contact and support messages that you send to us.
  • Billing records, subscription status, checkout references, invoice references, and payment-related metadata.

Live sessions, voice, and audio

When a live avatar session starts, WebRTC transfers the live microphone audio stream from your browser to the Unreal Engine session environment used by Pxl-Persona.

During a session, audio clips are created when the user starts and stops clipping in the session controls. These audio clips are linked to the session record and are available for playback from the session review page inside the user's account.

We store session transcripts, generated feedback, audio clips, and related session metadata so users can review their conversational practice later.

Uploaded files and vector stores

Files uploaded by users are stored on Scenegraph Studios servers and may be processed by our on-premise AI systems to create vector stores or embeddings. This helps Pxl-Persona retrieve relevant context during conversational practice.

If an uploaded file or account is deleted, we delete the related vector-store and embedding records unless they have already been genuinely anonymised so they can no longer identify a user or account.

How we use information

We use personal data to provide Pxl-Persona, manage accounts, run live sessions, store session reviews, support users, process billing, protect the service, and improve reliability and product quality.

We may review conversation content, transcripts, audio clips, and usage records for training, feedback, safety, misuse detection, abuse prevention, and product quality. Reviews are carried out by trained Scenegraph Studios staff. Where practical, names and other directly identifying details are removed before review.

If we believe an account is being used against our guidelines, for unsafe purposes, or for a use case that Pxl-Persona is not intended to support, we may restrict, suspend, or revoke access.

AI processing

For the standard Pxl-Persona service, AI processing and inference run on Scenegraph Studios servers in our Birkenhead office. We do not use OpenAI, ChatGPT, AWS, Azure, or similar third-party AI inference providers for the standard service.

Voices available in the standard service are managed by Scenegraph Studios and processed on Scenegraph Studios servers.

For specific client projects or custom voice work, we may agree to use a third-party provider such as ElevenLabs. Where that happens, we will disclose the provider and use appropriate processing terms. For example, a custom voice workflow may send text for speech generation, but not the user's stored voice recordings unless separately agreed.

Third-party services

Core app data storage and standard AI inference are hosted on Scenegraph Studios servers in Birkenhead. We do use some third-party service providers to operate the wider product and business.

These providers process limited data for the purpose of providing their service to us. They may process data in locations outside the UK according to their own data processing terms and safeguards.

  • Stripe processes payments, subscriptions, invoices, checkout sessions, billing portal access, and related payment metadata.
  • Resend currently processes service, contact, and support email delivery. We may also use SMTP email services for operational email.
  • Cloudflare provides domain, DNS, network, security, and traffic-protection services. Cloudflare may process IP addresses, request metadata, and security-related network data.
  • ElevenLabs or another voice provider may be used only for agreed custom projects or future voice workflows, not for standard Pxl-Persona AI inference.

Cookies, login, and telemetry

Pxl-Persona uses cookies and similar browser storage for login sessions, security, and core application behaviour.

We use custom telemetry and technical logs to understand reliability, errors, usage patterns, performance, and security events. Cloudflare may also collect network and request metadata as part of its domain and security services.

We do not currently send marketing emails. If we introduce newsletters or product marketing, we will provide opt-in and opt-out controls.

Legal bases

We rely on different lawful bases depending on the activity.

  • Contract: to create accounts, provide conversational practice, store sessions, manage subscriptions, and provide requested product features.
  • Legitimate interests: to secure the service, prevent misuse, provide support, improve reliability, review product quality, and understand how the service is used.
  • Legal obligation: to keep records required for tax, accounting, payment, fraud-prevention, or legal reasons.
  • Consent: where we ask for optional consent, such as future marketing emails or specific custom processing that needs separate permission.

How long we keep information

We keep identifiable personal data only for as long as we need it for the purposes described in this policy, unless a longer period is required for legal, billing, security, or dispute reasons.

If an account is inactive for 24 months, we may delete or anonymise account-linked data after notice where practical.

For active accounts, session records, transcripts, audio clips, uploaded files, scenario content, and profile information are generally kept until the user deletes the content, requests deletion, or closes the account.

Contact and support messages, safety review records, telemetry, and technical logs are generally kept for up to 24 months unless they are needed for security, abuse prevention, legal, or support reasons.

Billing, invoice, and payment records may be kept for longer where required for tax, accounting, fraud-prevention, or legal reasons.

Genuinely anonymised or aggregated information that no longer identifies a user or account may be kept for longer for product improvement, research, reporting, and service-quality purposes.

Deleting your account or data

You can ask us to delete your account and personal data by contacting [email protected].

When we process a deletion request, we will delete or anonymise account-linked personal data, including profile data, uploaded files, personas, scenarios, session records, transcripts, audio clips, reviews, and related vector-store records, unless we need to retain specific information for legal, billing, security, or dispute reasons.

Deletion does not remove information that has already been genuinely anonymised or aggregated so it can no longer identify you.

Your rights

Depending on the circumstances, you may have rights to access, correct, delete, restrict, object to, or receive a copy of your personal data.
